Names and identifiers
Record and resolve inconsistent names, identifiers or dates with the client. Do not change source facts or guess missing information.
Notarial wording and annexes
Distinguish main text, notarial wording, seal descriptions and annexes. Check numbering and references while preserving relationships, authority and limitations.
Consistency across documents
Use confirmed names, organization names and terminology throughout the set, then check recurring details before delivery.

A clear process from enquiry to submission
Confirm the use
Share the destination, recipient, purpose, languages, submission date and written instructions. Check named providers, linguist qualifications, signatures, stamps or notarial conditions first.
Review files and agree the scope
Count pages and annexes, identify missing or unclear content, and agree versions, price, translation timing, format and supporting evidence. Resolve material requirements before starting.
Translate with consistent names
Translate the confirmed source with agreed name spellings, organization names, terminology and date formats. Record and resolve source queries.
Review and prepare final files
Check identifiers, figures, key wording, seals, annex alignment and layout. Prepare the stamps, statements and supporting documents included in the agreed scope.
Check delivery and handle feedback
Explain the delivered document set and handling instructions. Review recipient feedback against the original brief to establish whether translation revision, supporting evidence or a further procedure is needed.
Confirm the formalities around the translation
Translation and supporting statements
Agree the source, language, translator statement, stamps, page alignment and binding. The project scope identifies what the company will provide.
Notarial requirements
Ask the notarial body to confirm the matter, originals, supporting evidence and notarial wording. We prepare translation to the confirmed instructions and answer translation-related queries.
Apostille or legalization
Confirm the applicable route for the document origin and destination. These formalities are performed by the competent authorities; check their order relative to translation before production.

- Required translator statements, stamps and evidence confirmed as available in the scope.
- Checks on names, figures, dates, identifiers, annexes and final-file completeness.

Frequently asked questions
Are a translation stamp, notarization and an apostille the same?
They serve different purposes. A translation stamp or translator statement identifies responsibility for the translation. Notarization is performed by a competent notarial body; apostilles and legalization concern matters such as signatures and seals. The document origin, destination and recipient determine the required route.
How do I check that the translation suits my application?
Share the recipient, application type, target language and official checklist or written instructions. We use these to confirm the document scope, format, signatures or stamps, translator requirements and supporting documents before accepting the brief. Named providers or additional formalities must be checked first. The recipient decides acceptance and approval.
Can you assess scanned copies?
Clear scans or photographs can be assessed if they include covers, text, reverse sides, seal pages and attachments. Original-document checks and paper binding depend on the receiving procedure. Agree arrangements with the project manager before sending an irreplaceable original.
Can seals and attachments be left out?
The recipient’s instructions determine the scope. For formal submissions, agree coverage of seals, signatures, handwritten notes, annexes and notarial wording as well as the main text. Illegible content is raised as a query rather than guessed.
How are price, timing and revisions agreed?
We review the files before quoting for language, volume, subject, layout, review and paper delivery. Translation, official procedures and postage have separate schedules. Translation or formatting issues within the agreed scope are handled under the revision terms; new files, source changes or new recipient requirements are assessed separately.
