DEFINE THE SCOPE AROUND THE DOCUMENT PURPOSE

Financial statement translation

Financial statement translation depends on accurate correspondence between line-item names, numerical presentation and the scope of the statements. We check reporting periods, currency units, comparative columns and note references, align terminology with the company's established usage, and preserve source figures and hierarchy so readers can compare the statements and explanatory material line by line.

Start with the purpose and scope

Financial communication within a group

Provide the line-item comparisons management teams need, distinguishing separate and consolidated labels and current and comparative columns to reduce confusion from inconsistent translations.

Financial materials for business discussions

Align statement titles, monetary units and notes, preserving rows and columns so readers of business materials can trace translated line items back to the original figures.

Maintaining terminology for recurring statements

Maintain recurring statement terminology and abbreviations, flagging new items and heading changes to prevent periods or units from an old template remaining in the current translation.

Which pages and files should you prepare?

Material scope and checks
MaterialScope to confirmPreparation and checks
Complete statements and editable tablesProvide all statements in scope, including all explanatory text and complete row and column headings.Check that scanned and spreadsheet versions match, and specify whether hidden rows or columns are included.
Periods, presentation scope and monetary labelsSupply source labels for current and comparative periods, currency, monetary units, and separate or consolidated statements.Confirm whether units are consistent across statements and distinguish point-in-time headings from period headings.
Account terminology and note referencesProvide the company's account terminology, confirmed translations and the note pages referenced by the statements.Distinguish internal account codes from presentation labels, and check new line items and abbreviations.
File purpose and table delivery specificationsSpecify bilingual tables, monolingual layouts or a separate line-item glossary, and agree on the output format.Confirm formula preservation, number display and pagination requirements to prevent layout from hiding information.

Review focused on the document details

Statement titles and period columns

Check each statement's entity name, title, dates and comparative columns, distinguishing source descriptions of closing balances from amounts for a period. Identify tables with different presentation scopes separately to prevent headings being carried over from the preceding table.

Line-item hierarchy and similar terms

Use indentation, grouping and context to establish line-item hierarchy, checking whether similar items require different translations. Even when using approved company terminology, verify its meaning in the current period rather than merging distinct items based only on similar Chinese wording.

Numerical symbols and measurement units

Compare amounts, percentages, decimal places, parentheses and dashes row by row, checking that monetary units are clear on each page. Preserve the distinction between blanks and zero values, and do not turn a formatting change into an unconfirmed numerical conversion.

Note references and table completeness

Check note numbers, continued rows and columns, and in-table explanations, ensuring the bilingual layout has not displaced headings or data. Record apparent reconciliation issues in the source separately; translation delivery does not replace the company's professional confirmation of the figures.

Agree the deliverables before work begins

Electronic translation

Agree PDF, Word, Excel or other formats, editability, page order and file naming. Confirm any page-by-page source correspondence before work starts.

Statements, signatures and stamps

If the recipient requires a translator statement, signature, contact details, stamp or a particular qualification, share the checklist first so the supporting set and responsible provider can be checked.

Paper copies and shipping

Agree copies, binding, source-reference pages, address and shipping milestones. Translation, supporting formalities and transit are planned separately.

Translation, notarisation, Apostille and consular legalisation are distinct stages. Check the recipient checklist to establish which stages and document combinations are needed for the intended submission.

A clear path from files to feedback

  1. Describe the files

Provide clear files or a redacted sample, with languages, purpose, volume and timing.

  2. Agree the scope

Confirm main text and annexes, review, formats, supporting work, price and delivery.

  3. Translate and review

Check fields, terminology, figures, dates and cross-document relationships.

  4. Deliver and follow up

Deliver against the list and consolidate feedback; assess new source versions or added files separately.

Questions before you commission the work

Will translation change account classifications or the reporting basis?

The translation follows the source line items and order; target-language conventions do not justify reclassification or a change in reporting basis. If a separate account mapping or converted presentation is needed, finance personnel should first define the relationships and confirm the text. We can then handle language and layout while distinguishing the purposes of the files.

Can formulas in the spreadsheet be preserved?

Provide the original spreadsheet and specify whether formulas, hidden rows and columns, and cross-sheet references need to be preserved. We agree on which text may be changed and check headings and display after editing. Any changes to formula results or financial logic require confirmation by the company's finance personnel.

Does translation include converting amounts from ten-thousand-yuan units to yuan?

By default, source monetary units and figures are retained without conversion. If a different presentation unit is required, the company should confirm a revised source table and explanation first. We then check unit labels, figure placement and decimal display against that file, retaining version records to distinguish the original and adjusted tables.

What if the same line item has different English names in earlier translations?

Provide earlier translations and an explanation of the current line item. We compare each term in its statement and context, listing proposed consistent wording and differences requiring confirmation. After approval, we update the glossary and check corresponding locations across the current statements and notes so inconsistent variants do not remain elsewhere.
