Start with the purpose and scope
Child identity documents
We align a child's spelling with passport or registration references and clearly distinguish birth details from the certificate issue date.
Family relationship records
We connect parental names and identity details with other family records, retaining the source relationship fields without inferring guardianship or nationality.
Organizing personal records
We compare birth details with household, school or other personal records, distinguishing original and replacement issues and retaining historical names.
Which pages and files should you prepare?
| Material | Scope to confirm | Preparation and checks |
|---|---|---|
| Complete birth document | Supply front and back images and notes on attached sections. | Retain numbers, edges and the issue seal, with folds clear of the birth time. |
| Child's name reference | Provide existing passport spelling, Chinese name and former-name records. | Say if no spelling is established; informal nicknames should not replace document names. |
| Parents' identity references | Provide parental name spellings and references for the document types listed. | Check current and older identity details and distinguish them from numbers recorded at birth. |
| Replacement and correction records | Include name corrections, replacement annotations and explanatory pages. | Identify the amended field and keep the original entry visible. |
Review focused on the document details
Birth event and issue details
We check birth date, time, location and issue date separately, retaining the source level of precision. Missing times are not added, and an issuing hospital or authority is not automatically treated as the birth location.
Parental and child fields
We check names, ages and identity details for the child and each parent, avoiding shifts caused by line wrapping. An unfilled parental field remains unfilled rather than being completed from the household register.
Medical and registration entries
Where present, we check gestational age, birth weight, length and delivery facility with their units. Medical entries and registration matters remain distinct and are not extended into health conclusions or later diagnoses.
Versions and amendments
We identify titles, issuers and replacement marks and retain seals, signatures and correction notes. Differences in names or numbers between versions are located and queried rather than combined into a new record.
Agree the deliverables before work begins
Electronic translation
Agree PDF, Word, Excel or other formats, editability, page order and file naming. Confirm any page-by-page source correspondence before work starts.
Statements, signatures and stamps
If the recipient requires a translator statement, signature, contact details, stamp or a particular qualification, share the checklist first so the supporting set and responsible provider can be checked.
Paper copies and shipping
Agree copies, binding, source-reference pages, address and shipping milestones. Translation, supporting formalities and transit are planned separately.
Translation, notarisation, Apostille and consular legalisation are distinct stages. Check the recipient checklist to establish which stages and document combinations are needed for the intended submission.
Check credentials and document quality
See the company profile for SENIOR TRANS credential and association information. Check the holder, scope and statements or supporting work needed for this assignment before engagement.

Describe the files
Provide clear files or a redacted sample, with languages, purpose, volume and timing.
Agree the scope
Confirm main text and annexes, review, formats, supporting work, price and delivery.
Translate and review
Check fields, terminology, figures, dates and cross-document relationships.
Deliver and follow up
Deliver against the list and consolidate feedback; assess new source versions or added files separately.
Questions before you commission the work
Are a medical birth certificate and a birth notarial document the same?
They are different documents and should be translated according to their own titles, issuers and text. If both are supplied, names and birth details can be cross-checked without relabeling one as the other. The source documents and recipient checklist define the scope.
How is a child's name handled without a passport?
A consistent spelling can be based on the Chinese name and an agreed spelling approach, with the absence of a passport reference recorded. Compare later documents if they use a different spelling. We do not add an English nickname or guarantee future document spellings.
Should a parent's new identity number replace the old one?
The translation retains the number recorded on the birth document. A newer document may support identity checks but does not replace a historical field. Any explanation linking old and new documents should have supporting evidence and remain distinct from the certificate text.
What if fields are blank or handwriting is unclear?
Blank fields remain as recorded and are not filled from other documents. Unclear text needs a close-up and full-page view. If it remains illegible, the affected area is identified; you may need to ask the issuer for a clearer record.
