Start with the purpose and scope
Supporting family records
When accompanying birth or marriage records, we check member names and relationships to the household head without inferring relationships beyond the register.
Explaining personal details
A person's page can explain their date of birth, ancestral origin and identity number. We distinguish the registered household address from a current residential address.
Connecting related documents
For a document bundle, we compare passport spellings and address forms across records and flag source differences for verification before submission.
Which pages and files should you prepare?
| Material | Scope to confirm | Preparation and checks |
|---|---|---|
| Cover and household head page | Include household type, household number, head's name and registration authority details. | Show all corners, legible registration seals and page numbers, rather than only the name area. |
| Relevant member pages | Supply full pages for the individual and relevant members in source order. | Check that relationship, birthplace and identity number fields are not cropped. |
| Amendment and migration entries | Include pages recording address changes, migration or cancellation annotations. | Retain dates, handwriting and the edges of overlapping seals. |
| Name spelling reference | Provide a passport data page or a list of established English name spellings. | Identify former and current names and the source of each spelling. |
Review focused on the document details
Members and page mapping
We map each member to the relevant entries and check whether the individual is also the household head. Missing, duplicate or discontinuous pages are flagged to prevent records from different households being combined.
Addresses and administrative levels
We separate province, city, district, street and building details and use consistent English for the same place. Historical place names and current addresses remain distinct; recorded information is not silently updated.
Relationships and registration terms
We distinguish relationship to the household head, marital status and address fields. The translation does not extend those entries into statements about biological relationships, guardianship or shared residence.
Annotations and seals
We check amendment dates, officer details and seal text, keeping annotations connected to their fields. Unclear or obscured characters are flagged for clarification rather than reconstructed from context.
Agree the deliverables before work begins
Electronic translation
Agree PDF, Word, Excel or other formats, editability, page order and file naming. Confirm any page-by-page source correspondence before work starts.
Statements, signatures and stamps
If the recipient requires a translator statement, signature, contact details, stamp or a particular qualification, share the checklist first so the supporting set and responsible provider can be checked.
Paper copies and shipping
Agree copies, binding, source-reference pages, address and shipping milestones. Translation, supporting formalities and transit are planned separately.
Translation, notarisation, Apostille and consular legalisation are distinct stages. Check the recipient checklist to establish which stages and document combinations are needed for the intended submission.
Check credentials and document quality
See the company profile for SENIOR TRANS credential and association information. Check the holder, scope and statements or supporting work needed for this assignment before engagement.

Describe the files
Provide clear files or a redacted sample, with languages, purpose, volume and timing.
Agree the scope
Confirm main text and annexes, review, formats, supporting work, price and delivery.
Translate and review
Check fields, terminology, figures, dates and cross-document relationships.
Deliver and follow up
Deliver against the list and consolidate feedback; assess new source versions or added files separately.
Questions before you commission the work
Can you translate only my page?
We can translate an agreed selection, although the head page may be needed to explain household type, address or relationships. Share the recipient's checklist so we can identify what the selected pages show and which connections would remain undocumented.
What if the registered and current addresses differ?
The translation retains the registered address rather than replacing it with your current residence. Current address evidence can be provided separately. If the register contains an amendment, include that page for comparison.
How are former names and passport spellings handled?
Provide former and current names with passport spelling references. Each remains attached to its source field. We list spelling differences for your review; a former name is not replaced with a current name, and any correction must be grounded in the source records.
Do handwritten amendments and blank fields matter?
Relevant handwritten amendments, cancellation marks and seals are reviewed. Blank fields remain identifiable without adding content. If handwriting is unclear, both a close-up and a full-page image help establish the wording and its location.
Describe the documents and request a quote
Share the languages, volume, purpose and preferred timing to confirm the scope, price and delivery. Complete files can follow once the transfer method is agreed.
